From one market to the next portfolio

You sell valuation, portfolio data, energy and ESG reporting or building management software to real estate funds, institutional owners and property managers. Your first customers are usually at home, and pipeline stalls when you sell into a second country, where buyers have never heard of you and the data your product relies on comes from different sources.

Dated signals in Real Estate & Proptech In Real Estate & Proptech, three dated signals open a target account for outreach: Portfolio acquired, Buildings law transposed, GRESB results.

Who this page is for

  • Valuation and portfolio data companies selling to real estate funds abroad
  • Energy and ESG reporting software sold to institutional owners and managers
  • Building management software vendors expanding from their home market

Usual starting point: Demand

How do you increase sales for a proptech or real estate data company?

Enter one new country at a time with a named list of funds, owners and managers. Show which buildings, metrics and definitions you cover in that market, and time outreach to reporting dates such as a GRESB submission or the national transposition of the EU buildings directive, the moments when owners choose their tools.

What do the numbers say about Real Estate & Proptech?

Each figure links to the page it comes from, so you can check it before you repeat it.

Why does the usual approach stall in Real Estate & Proptech?

Real estate software is bought against a reporting cycle and a regulation, and both are national or regional. In the EU, the recast Energy Performance of Buildings Directive had to be transposed into national law by 29 May 2026, and its minimum energy performance standards are meant to trigger the renovation of the 16 percent worst-performing non-residential buildings by 2030. In Switzerland, real estate funds publish environmental indicators under an AMAS standard covering the energy mix, energy consumption, energy intensity, CO2 emissions and CO2 intensity, and many owners also report to GRESB, whose portal for the 2026 assessment closed on 1 July. A buyer decides when one of those dates approaches, and only if your product handles their market's data and definitions.

Volume marketing fails here because the owners and managers who can buy form a finite list in each country, and they choose vendors through peers, consultants and reporting partners more than through search. A campaign aimed at the category in a new country reaches surveyors, brokers and students, while the head of portfolio management at a fund never sees material that answers the question about their own portfolio.

If you sell to the Swiss market only and plan to stay there, or you sell listing and tenant tools to thousands of small landlords, this page describes the wrong problem. Torke fits a proptech company that already exports or is ready to, selling to a named list of funds, owners and managers in several countries, and many Swiss proptech companies do not yet meet that condition.

Where does pipeline break in Real Estate & Proptech?

We look at five stages in the Diagnostic, because each fails for a different reason. The rows show the failure we look for first at each stage and what changes once Torke fixes it, in the order a deal meets them.

  1. Discovery

    Where it breaks

Buyers abroad and AI assistants cannot tell which buildings, metrics and methods the product covers in their country

What changes once it is fixed

Visibility writes the pages buyers and AI assistants read, stating coverage and methodology in the terms each market uses

  2. Timing

    Where it breaks

Owners choose tools before a reporting cycle, and outreach sent after a GRESB or transposition date waits a year

What changes once it is fixed

Account signals watch fund launches, acquisitions, appointments and national rule changes, so coverage lands before the dates that apply

  3. Evaluation

    Where it breaks

The external valuer or auditor questions whether your figures match their methods, and the incumbent data provider stays

What changes once it is fixed

The Fix stage writes the methodology pages reviewers read, and campaigns keep every coverage claim to what the data team can defend

  4. Qualification

    Where it breaks

A campaign in a new country brings replies from surveyors, brokers and students who are not on the named list

What changes once it is fixed

A reply counts only from a named account on the agreed list, with the need stated in the buyer's own words and the basis recorded

  5. Handover

    Where it breaks

Partner referrals and direct accounts are counted apart, so nobody can tell which route brought an owner into conversation

What changes once it is fixed

Revenue operations records the route each account came through, so the monthly read separates partner and direct pipeline

Who is in the buying group?

One person rarely decides alone, so a lead from the wrong role moves nothing. These are the roles we map at every account on your list.

  • Who signs

The head of portfolio or asset management, or the fund manager, with the management board or an investment committee approving larger contracts.

  • Who evaluates

Asset managers and portfolio analysts who work with the data, the sustainability lead responsible for reporting, and the property manager whose staff enter and maintain building data.

  • Who can block

IT and data protection when tenant or building data leaves the company, the external valuer or auditor whose methods your figures must match, and the incumbent data provider.

Which signals open an account in Real Estate & Proptech?

Each signal is a dated, public event a sceptical buyer could check in thirty seconds. Market-wide news can change an account's conditions, and we never write it up as something that company did.

SignalWhat it changes inside the account
A fund launches, raises capital or acquires a portfolioNew assets have to be onboarded, valued and reported within a set period
A new head of sustainability or portfolio management is appointedA new owner reviews how reporting is produced in the first months
A national law transposes the EU buildings directiveRenovation and reporting obligations get dates that apply to the account's buildings
An owner publishes its GRESB results or a sustainability reportThe gaps in its data are now public, and the team has a year to close them
A fund or manager changes its administrator or data platformData is being migrated, so the tools around it can change too

What does a qualified lead look like here?

The head of sustainability at a real estate fund manager on your agreed list replies that their country's new renovation rules apply to part of the portfolio from next year and asks whether your product calculates energy intensity per building the way their auditor requires. The basis for contacting them in their country is recorded, and the account is not an open opportunity in your CRM. That reply, with the transposition news it answered, is a qualified lead.

A lead counts only when all five facts are recorded, and you have five business days to reject it with a reason. The Torke Service page explains each fact.

Fact one
A named person in the buying group
Fact two
At an account you agreed to in writing
Fact three
A need or timing in their own words
Fact four
A lawful basis for contact
Fact five
Not already open in your CRM

Where should you start?

Every client starts with the Diagnostic, and for proptech companies it most often points to Demand in one new country against a named list, or ends on expand later when the home market is still the constraint.

Every engagement opens with the Diagnostic, two to three weeks that end on one of four decisions: stop, fix one barrier, run one practice, or expand later.

Usual first step for Real Estate & Proptech

Demand

The practice the Diagnostic most often points to here, run month by month once it does.

Get in touch

How do Torke Service and Torke Engine help?

The same engines run in both, so you can begin with one and move to the other without starting over.

Torke Service, we run it

For example, the Diagnostic may find that buyers in a second country ask about methodology in their first reply, and that no page answers them. Visibility then writes those pages in that market's own terms, and Demand covers the named funds and managers in the months before their reporting deadline.

How Torke Service works

Torke Engine, your team runs it

Account signals and campaigns on approved claims matter most here. Fund launches, acquisitions and appointments are dated and public, and every coverage or methodology statement in an ad or newsletter has to match what your data team can defend.

For example, a marketer asks the assistant to list the fund managers in Germany on the agreed list that announced an acquisition or a new sustainability lead this quarter, and to draft a first email to each. The assistant returns the accounts with each dated event and its source, and drafts where every sentence traces to that event and any guess about the portfolio is phrased as a question, for a person to send.

How Torke Engine works

What can you expect?

You can stop after any stage and keep what it produced.

  • A decision after the Diagnostic

In two to three weeks the Diagnostic names the one constraint in your pipeline and ends on one of four decisions: stop, fix one barrier, run one practice, or expand later. Stop is a real outcome when the constraint turns out to be product, price or budget.

  • Leads that arrive with evidence

Each qualified lead comes with the five recorded facts behind it, and you have five business days to reject any of them with a reason from a fixed list.

  • A monthly read you can check

Every month you receive a written read of accounts moved into conversations, coverage of your named list and spend against plan, with what each channel contributed and how uncertain that is. Results too small to judge are reported as too small to judge, with a keep, cut or change recommendation.

What do teams in Real Estate & Proptech ask about Torke?

Each answer stands on its own, so you can forward one to a colleague, and an assistant asked the same question can quote it as it is.

Where should a proptech company start?

Every Torke client starts with the Diagnostic, which for a proptech company usually begins with where it sells, since many have strong references at home and none abroad. It most often points to Demand in one new country against a named list of owners and managers, and it ends on expand later when the home market is still the constraint.

How do I sell real estate software in a second country?

Buyers in a second country need to see which buildings, metrics and methods the product covers in their own market, and references at home carry little weight with them. Torke's Visibility practice writes those coverage and methodology pages in each market's terms, and Demand works a named list of owners and managers one country at a time.

When do real estate owners choose reporting software?

Owners and fund managers usually choose reporting tools in the months before a reporting date, such as a GRESB submission or a national transposition of the EU buildings directive. Torke's account signals track those dates and events at each named account, so outreach reaches the owner before the cycle closes.

How long is the sales cycle for proptech companies selling to real estate owners and funds?

There is no reliable public average, but decisions cluster in the months before a reporting date, such as the GRESB portal closing on 1 July or the EU buildings directive transposition deadline of 29 May 2026.

How many real estate fund managers report to GRESB?

1,002 fund managers took part in GRESB's 2025 Real Estate Assessment, submitting 2,382 assessments, which makes the GRESB calendar a dated trigger across most institutional owners.

Your answers go straight to Vincent's inbox at vincent@torke.tech, and no third-party form service handles them.
